Position Summary:
Reporting to the Director of Finance, the Senior Manager, Grants Management & Compliance is responsible for the full lifecycle administration of all grants and cooperative agreements, including awards, subawards, modifications, contracts (government, vendor and consultant), within the assigned portfolio. This role ensures compliance with federal, state, local, and private grant requirements, and serves as a key liaison between Melwood, donors, federal agencies, internal departments, and external partners or subrecipients for matters related to negotiations, approvals, payments, and reporting.
In addition to compliance oversight, this position plays a critical role in financial stewardship, including collaboration with the Director of Finance & Accounting and the CFAO on revenue recognition and AR management related to grant funding. The Senior Manager ensures that grant revenue is accurately recorded in accordance with applicable accounting standards and that receivables are monitored and collected in a timely manner to support cash flow and financial planning.
This position works cross-functionally with the Fund Development Department (via a dotted-line reporting relationship), Community Services, Corporate Quality, Legal, and other departments to ensure that all aspects of grants management, from proposal to closeout, are executed with integrity, efficiency, and alignment to Melwood’s mission and strategic goals.
Key Responsibilities:
- Develop an understanding of Melwood activities, grants, sub-awards and internal and external financial reporting requirements to ensure proper data collection and documentation to facilitate accurate and timely reporting. Instituate a collaborative assurance process to ensure documented compliance with obligations
- Perform duties contributing to the grants mangement process through the full life cyle of a grant. This can include assist with preparation of grant budgets and financial documents for appplications and amendements, and preparation of financial reports to project managers and funding agencies by using data from accounting system.
- Develops implementation tools to be used by staff for effective management of grants, grant agreements, and gift agreements. Will work closely with Melwood's Community Services, Finance, Legal, and other relevent departments.
- Serves as the organization's subject matter expert in the area of grants by maintaining current, up-to-date knowledge and understanding of all regulatory, statutory, and administrative grant requirements. Applies expert knowledge of Office of Management and Budget (OMB) Code of Federal Regulations (CFRs) and Federal Acquisition Regulation (FAR) regulations
- Develops policies and procedures to meet organizational standards for grants management. Maintains responsibility for keeping policy documents and any manuals current and communicating updates to all staff with related responsibilities.
- Manages submission of prior approvals, waivers, extension and all other critical contractual actions. Advises and communicates with project team and fund development team on requirements, time, states, and results of contraction actions. Ensure compliance with contractual requirements particularly in terms of reporting.
- Prepares for, and/or participates in all audits including donor specific audit and support with Single Audit, preparation of SEFA for financial statements
- Other duties (as assigned): Organizes and lead regular and need-based trainings on grants mangement and compliance topics for key Melwood staff
- Process drawdowns and monitor Accounts Receivables for all grants. provide frequent updates to internal Melwood stakeholders on a regular basis
Compensation and Benefits:
Compensation for the role of Sr. Manager of Grants Management & Compliance includes a competitive salary ($100,000-$110,000) commensurate with experience and an excellent package of employee benefits which include medical, dental, vision, retirement, professional development, leave and holidays.
